Job Description

Founded in 2005, Keadjian Associates, a leading strategic communications and management consulting firm, is seeking a full-time Office Coordinator to begin working immediately at the firm’s Walnut Creek headquarters. The agency specializes in strategic communications and public engagement campaigns around some of our clients’ largest, most complex challenges and initiatives.

Our team is based out of the Walnut Creek headquarters. Given the Office Coordinator’s critical role in supporting daily operations, this position requires working full-time (5 days a week) from the firm’s Walnut Creek headquarters.

Responsibilities:

  • Jump on high-priority projects every day to support the agency
  • Proactively maintain organization throughout the office, ensuring areas are clean and orderly
  • Act as a central communication point for the office, including answering phones, greeting team members and guests, managing inquiries, and overseeing administrative tasks
  • Place and receive deliveries/lunch orders, run errands and coordinate other office logistics
  • Provide administrative coordination and support for agency and team events (e.g., summer picnic and end of year party)
  • Be an ongoing positive presence in the office and a contributor to the agency’s culture
  • Support first drafts of internal communications and presentation materials
  • Manage team member travel and book accommodations
  • Update and maintain internal trackers and communications
  • Assist with relationships with all suppliers/vendors
  • Regularly exercise independent discretion and excellent judgment

Qualifications:

  • Two years or more of experience as an office coordinator or similar role; experience at a communications or similar professional services agency is preferred.
  • Self-starter who will look at office operations, see what needs to be done and roll up their sleeves to handle it.
  • Combines strong communication skills with exceptional customer service and a professional, approachable demeanor.
  • Recognized in past jobs as someone who “makes things happen.”
  • Exceptional attention to detail.
  • Proven professionalism and experience protecting confidential information.
  • Experience working with Microsoft Suite, QuickBooks, and Salesforce is a plus.
  • Bachelor’s degree required.

Expected Salary: This position offers a base salary range of $52,000 to $65,000 per year, which equates to an hourly rate of approximately $25.00 to $31 based on a standard 40-hour workweek. In addition, the company provides industry-leading benefits such as end-of-year profit sharing and a performance bonus program for eligible employees. While we anticipate that the successful candidate hired in this role will be placed near the entry or midpoint of the salary range, the starting salary will be determined based on various factors, including years of experience, relevant type of experience, education and more.

Additional Benefits and Compensation: Keadjian Associates offers a discretionary bonus program for eligible team members, with bonuses awarded based on performance and contributions at the Company’s sole discretion. Additionally, eligible team members can participate in the Company’s 401(k) Program, with competitive employer contributions. The Company pays 100% of premiums for medical, dental and vision benefits for team members and covers 30% of spouse/dependent coverage, with buy-up options available for additional premiums and spouse/dependent coverage.
